Vendor Agreement
Presenting & Wellness Sponsors:

Client is responsible for production and delivery of 15-30 commercial to be aired during the EXPO on the JumboTron. Refer to individual packages for details.
EXPO provides:

Team Exhibitor – 1 6’ table and 2 chairs

MVP Exhibitor & Sponsors – 2 6’ tables and 4 chairs
Vendor provides:
-
Team Exhibitor - 10x10 Tent/Canopy - Must be either solid white or branded with your company name/logo. Must have 40lb weights each leg per City of Alpharetta. May be rented at www.thefitlifeexpo.com.

MVP Exhibitor & Sponsors - 10x20 or two 10x10 Tent/Canopy – Must be either solid white or branded with your company name/logo. Must have 40lb weights each leg per City of Alpharetta. May be rented at www.thefitlifeexpo.com.

Table linen that reaches the ground to hide all personal belongings.

Vendors are required to bring a minimum of 5 canned goods for the North Fulton Community Charities food drive.
Set-up:
-
Vendor set up starts at 10:00 am. All vendors to be completely set up by 11:30am
-
NO LATE ARRIVALS. Late-comers are subject to forfeiture of their table without refund.

Upon arrival, please check in with an EXPO representative at the EXPO tent, drop your canned goods, and you will be directed to your space to set up. EXPO parade begins at 11:45am on Sunday, October 11.

You will receive a vendor map via email several days before the EXPO.
Break down:
-
Vendor break-down will be from 5:00 pm - 6:00 pm. Clearing will not begin until event closes to public at 5:00 pm, and MUST be cleared by 6:00 pm. You are responsible for putting all items in trash. PLEASE leave your space clean.

As part of the FitLife EXPO’s commitment to giving back, we proudly partner with North Fulton Community Charities to host a community food drive. Vendors are required to contribute a minimum of 10 non-perishable food items at registration on EXPO day.

We will assist in your efforts to plan a food drive at your location to benefit North Fulton Community Charities with the food to be collected to the EXPO.

All materials to be included in Attendee Gift Bags must be submitted no later than Friday, Sept 25th. Late submissions will not be included. 300 pieces. Drop off location to be provided.

Vendors requiring electricity may incur extra charge.

Any vendors serving food must serve only pre-prepared items. No cooking on premises. Heating or warming devices used under any tent must have proper permitting from Alpharetta Fire Marshal's Office. Contact via email: FMO@alpharetta.ga.us.

No balloons allowed.

Event is Free to the public to attend.

Vendor may sell products from the table the day of the event and may have individual registrations and door prize drawings at their tables. Vendor must provide necessary entry forms or tickets for their drawing, and are responsible for conducting and rewarding their own winners.

No products containing THC are allowed.
-
No candles may be lit at any time of the event.

Vendor Layout is solely determined by and subject to change at the discretion of the FitLife EXPO LLC.

No Handwritten signs.
-
All promotional items should fit under your tent. No standing banners or other objects shall be placed where they interfere with another vendor’s display.

Vendors, no music is to be played in your tent so that other tents can hear it.
-
Vendor gives permission for any photos and video taken at the event to be used in event publicity.

***Vendor agrees to promote the EXPO, One Step Closer walk, and Food Drive (if applicable) in their place of business and with their clients via email, and on social media...and any other way they deem appropriate.*** Please tag The FitLife EXPO so we can share as well.

Vendor agrees to release the FitLife EXPO LLC and Tracie Morse from any liability or loss during the event. Vendor Liability Insurance is available through CPH & Associates or K & K Insurance.

The FitLife EXPO LLC reserves the right to request any vendor displaying inappropriate material or behavior to desist or depart without refund.

Booth space is not reserved until payment is received. Completing the Vendor Agreement only does NOT reserve your space. Please complete the Vendor Agreement at the time of payment and upload your high-res color logo for the JumboTron. Make payment by clicking the RESERVE BOOTH button or via VENMO @FitLifeEXPO. Checks are accepted as well. You will receive a receipt upon payment for your records.
Cancellations - Please Read

In the event of rain, and at the discretion of the FitLife EXPO, LLC, the event could be postponed to begin later in the day. If the event is cancelled for any reason including severe weather, national emergency, epidemic, or public health crisis, the event will be rescheduled. No refunds will be given. A portion of fees will be applied for the next event/expo. If the event is cancelled, we will make every effort to reschedule the event for your participation which will release Tracie Morse and the FitLife EXPO LLC in full from any further obligation. No refunds will be given if your business cannot attend the rescheduled event for any reason.
Electronic Signature. The parties agree that execution of this Agreement may occur by electronic signature. Any electronic signature shall be deemed to have the same legal effect as an original handwritten signature and shall constitute acceptance of all terms and conditions of this Agreement.
